Acceptable Use Policy

1. WHO THIS APPLIES TO

In short: Anyone who uses HeyLoopy — customers, end-users, evaluators, free-tier users.

This Acceptable Use Policy applies to all use of the HeyLoopy Service (“Service”) provided by LoopBot Corporation. It is incorporated by reference into our Terms of Service . If your organization signed a Master Subscription Agreement that addresses acceptable use, that agreement controls in case of conflict.

2. PERMITTED USE

In short: Workforce training that supports your real-world program of work.

You may use HeyLoopy to:

• Build training content from your own SOPs, policies, procedures, manuals, and reference materials.
• Generate, edit, and assign drill questions, exercises, and assessments.
• Track mastery, recall, completion, and gaps across your team.
• Use AI-generated coaching, scoring, and feedback as part of your training program.
• Share training materials with employees, contractors, apprentices, volunteers, or other end-users your organization authorizes.

3. PROHIBITED CONTENT

In short: Don’t upload, generate, or distribute content that’s illegal, harmful, or violates someone’s rights.

You may not use the Service to upload, store, generate, or distribute content that:

• Is illegal in your jurisdiction or the jurisdiction where the content is accessed.
• Targets a person or group with harassment, threats, intimidation, or hate based on protected characteristics.
• Sexualizes minors in any way, or depicts child sexual abuse material (CSAM).
• Promotes self-harm, suicide, eating disorders, or violence against others.
• Infringes intellectual property — you don’t have the right to upload it.
• Violates privacy — non-consensual personal information, doxxing, intimate imagery shared without consent.
• Contains malware, exploit code, or other software designed to damage systems.
• Misrepresents identity — deepfakes or AI-generated content presented as real people without consent.

Special-category content note. If your training program legitimately addresses sensitive topics (e.g., trauma-informed care training, abuse-recognition training for safeguarding, medical procedures, security operations), that’s permitted. The prohibition is on harmful content, not on the training topic.

4. PROHIBITED ACTIVITIES

In short: Don’t break the Service, abuse the AI, or use HeyLoopy to harm someone else’s system.

You may not:

• Scrape, crawl, or systematically extract content from the Service outside the rate limits and access patterns we publish.
• Reverse-engineer, decompile, or disassemble the Service or attempt to derive source code.
• Probe for security vulnerabilities outside our coordinated disclosure path. Email support@heyloopy.com to report a vulnerability responsibly.
• Bypass rate limits, access controls, authentication, or any technical protection.
• Resell, sublicense, or repackage the Service to third parties without a separate written agreement.
• Use outputs to train a competing AI model. You may not use drill questions, AI-generated coaching, scoring, or other Service outputs to train, fine-tune, or improve a competing machine-learning model.
• Send unsolicited communications through the Service.
• Impersonate another user, organization, or HeyLoopy itself.
• Interfere with the Service for other users (denial of service, resource exhaustion, etc.).

5. AI-SPECIFIC RULES

In short: AI is a tool inside HeyLoopy. Don’t use it to generate the things in Section 3.

When you use AI-powered features:

• The prohibited-content rules in Section 3 apply to your prompts, your inputs, and the outputs you choose to keep or distribute.
• Don’t use jailbreaks, prompt injection, or other techniques to make the AI generate content this policy prohibits.
• AI-generated drill questions, scores, and coaching are advisory. A human admin should review them before they form the basis of regulatory submissions, employment decisions, or other consequential actions.
• Outputs are not professional advice (legal, medical, financial, safety, etc.). The Disclaimer applies.

6. CONTENT OWNERSHIP AND LICENSE

In short: You own what you put in. You grant us a license to process it so we can run the Service.

You retain ownership of:

• SOPs, policies, training materials, and other reference content you upload.
• Drill questions, exercises, and assessments you author or curate.
• End-user responses, mastery scores, and completion records (subject to your end-users’ privacy rights).

You grant HeyLoopy a worldwide, non-exclusive, royalty-free license to host, process, transmit, modify (for formatting and delivery), and display your content solely as needed to provide the Service to you. This license terminates when you remove the content or terminate your account, except for backup copies that age out per our retention schedule.

We do not train AI models on your content — ours or any third party’s. See Privacy Policy, Section 6 for the AI subprocessing details.

7. END-USER RESPONSIBILITY

In short: If you’re an admin assigning training, you’re responsible for what you upload and who you assign it to.

Customer organizations are responsible for:

• The lawfulness of the content they upload.
• Their end-users’ authorization to access the assigned training.
• Compliance with applicable employment, training, and data-protection laws in their jurisdictions.
• Obtaining any consents required from end-users before processing personal information through HeyLoopy.

End-users are responsible for their own conduct in the Service, including responses they submit.

8. ENFORCEMENT

In short: We may suspend or terminate for violations. We’ll usually warn first; serious violations are removed immediately.

If we believe content or activity violates this policy, we may:

• Remove or restrict access to the content.
• Suspend or limit the offending account.
• Terminate the account for severe or repeated violations.
• Cooperate with law enforcement where required by law or where the violation involves imminent harm.

For non-severe violations we’ll typically notify the customer’s admin first and offer a chance to remediate. For severe violations (CSAM, imminent harm, security incidents) we may act immediately and without prior notice.

9. REPORTING ABUSE

In short: Email us. We respond within 5 business days for non-emergencies.

To report content or activity that violates this policy:

• Non-emergency: support@heyloopy.com
• Imminent harm or CSAM: Mark the email subject “URGENT — abuse report” so it routes for same-day attention.

10. CHANGES TO THIS POLICY

We may update this policy as the Service evolves. The “Last updated” date at the top reflects the most recent change. Material changes will be communicated to account admins via email.
